Criteria for Appointee Listing

University Faculty and staff who meet the criteria for appointee listing are required, at least annually, to complete and submit an end-of-year REPA (Report of External Professional Activities) for review and approval prior to the announced deadline.

The REPA Compliance Reports are available to assist colleges in the REPA filing process. The report lists appointees in a college/unit who are required to file a REPA form and shows the status of his or her end-of-year REPA. The required REPA filing criteria are listed below. If an appointee meets one or more of these three criteria, he or she is required to file an end-of-year REPA.

  1. An RS qualification to file an end-of-year REPA is because he or she was listed as Principal Investigator or Co-Investigator on a medical or social human subjects protocol or animal subjects protocol submitted to the Research Subjects' Protection Program (RSPP) during the reporting period or on a research subjects protocol that had an 'approved date' during the reporting period or if the 'expires date' falls with in the reporting period. These qualifications are based on data from the IRB RSPP database. Excluded from the listing are appointees in this group with a:
    • E (exempt) in the study code number; or
    • P (student) in the study code number

  2. An SP qualification to file an end-of-year REPA is because he or she was listed as the Principal Investigator, Co-Investigator, or key personnel on a proposal submitted to the Sponsored Projects Administration (SPA) during the reporting period. An appointee could also qualify for the 'SP pool' end-of-year REPA filing requirement if he or she was listed as the Principal Investigator or Co-Investigator on a sponsored award that was active during the reporting period. These qualifications are based on data from the Sponsored Projects Administration (EGMSi) database.


  3. An HR qualification to file an end-of-year REPA is based on his or her qualifying faculty or P&A appointment held during the reporting period.
    • Faculty and P&A appointees who held a primary appointment at the time compliance reports are frozen of job class 93xx, 94xx, 96xx, or 97xx, where the employment status for that appointment was A (active), W (short work break), L (leave of absence), P (leave with pay), S (suspended) or X (Retired-Pension Administration). Excluded from the listing are appointees in this group with a primary appointment in the reporting period:
      • without salary (paygroup = 'WOS');
      • department is 999* (former university employee);
      • of an appointment type of A (adjunct from outside the university), T (temporary), U (clinical), or V (visiting); or
      • of an appointment term of Z (hourly, summer term, lump sum) or 0 (not applicable; temporary or casual).

An individual may be exempt from filing an end-of-year REPA if he or she meets one or more of the following criteria:

  1. He or she is appointed solely for teaching two or fewer courses in a calendar year, with no SP or RS designation on the compliance reports.


  2. He or she has a special circumstance related to their REPA filing status such as an LTO, LTD, or military service.


  3. An individual is listed with an RS or SP next to their name in error and the appropriate paper work as described above has been completed.
