New PRF (Proposal Routing Form) Updates

On June 6, 2007 we launched an updated Proposal Routing Form (PRF) with a new look, and additional features to make research administration more efficient.  At that time, we were not yet ready to roll out the final component of that effort - parallel routing capabilities.  I'm pleased to tell you this feature is now ready.   Effective Thursday, October 18th, all new PRFs created,  or existing PRFs completed and submitted into electronic routing,  will allow for parallel routing rather than the sequential routing that has been in place up to this point.   [Pre-existing PRFs already in the midst of being routed will simply complete their routing paths based on the former sequential process.] 

The new parallel routing function works using three levels of review/approval:   PI(s); all other signers (typically unit heads and deans); and finally, SPA.  Approvals at each level can happen in parallel mode.   Logistically, once a list of X.500 IDs is entered into "Approvers" list of the PRF and the form submitted for routing, the system will simultaneously send an email to all individuals listed as PI (a single individual, or in the case of a Multiple PI project, more than one individual) requiring their approval.  Once all individuals in that role approve the PRF, the system will simultaneously generate notices to all other individuals listed as "Approvers" (typically, unit heads and deans, or their designees).  Any individual notified can then log in, review and approve the PRF without regard to a specific sequential order.  Once all required signatures have been obtained, the PRF will route to SPA*. 

In addition to the parallel routing feature, this version of the PRF is formalizing the requirement that Co-PIs, or other participating Investigators are no longer required to sign the PRF, although their departments/centers and colleges will still approve the PRF to verify that they are aware of the projects and the role assumed by their faculty.   Any investigators listed in Section 8 of the PRF who are not marked as being a Principal Investigator will be notified via email that they are listed on a PRF but need not approve it.  These individuals will, however, be able to log in and view the document.
